Key Performance Indicators

These definitions are from The Uniform System of Accounts for the Lodging Industry 10th Revised Edition published in 2006 by the American Hotel and Lodging Educational Institute with support from the Hospitality Financial and Technology Professionals.

Availability

Total Rooms Inventory
Total number of guest rooms in a property whether or not the rooms are available for sale. Included are;
  • Rooms not available for rent
  • Total Rooms Occupied
  • Vacant rooms
Seasonally Closed Rooms
When all operations of a hotel are closed for a minimum of 30 consecutive days due to seasonal demand patterns, then the rooms for this period should be removed from annual salable inventory. The hotel must be consistently closed year-to-year.
Extended Closed Rooms
Those rooms removed from salable inventory for a period of six consecutive months or more on a non-discretionary basis. Examples include rooms damaged due to hurricane, earthquake, or fire where there is intent to return the room to salable inventory.
Rooms for Permanent House Use
Those rooms removed from salable inventory for a minimum six consecutive months for use by a hotel employee.
Total Rooms Not Available for Rent
Total of rooms that are seasonally closed, extended closed, or used for permanent house use.
Rooms Available
Total Room Inventory minus Total Rooms Not Available for Rent.

Occupancy

Transient Rooms Occupied
Total rooms occupied by Guests on an individual basis. Included are rooms on a paid basis as well as rooms occupied on gratis basis in connection with a promotion or contract.
Group Rooms Occupied
Total rooms occupied by guests as part of a group (10 rooms or more). Included are rooms on a paid basis as well as rooms occupied on gratis basis in connection with a promotion or contract.
Contract Rooms Occupied
Total rooms occupied by guests as part of a special contract, generally of a longer-term nature (i.e., multiple weeks or months). Included are rooms on a paid basis as well as rooms occupied on gratis basis in connection with a promotion or contract.
Complimentary Rooms Occupied
Free rooms provided to any guest, often for marketing purposes, but not related to an existing contractual relationship. Not included are:
  • Rooms provided due to a trade-out arrangement
  • Rooms provided in connection with a promotion
  • Rooms provided as part of a group contract
These rooms should be classified as one of transient, contract, or group as appropriate.
Rooms Occupied
Total Rooms occupied by transient, group, and contract guests
Total Rooms Occupied
Total Rooms occupied by transient, group, contract, and complimentary guests
Vacant Rooms
Total rooms available less total rooms occupied.
Vacant rooms can be classified into the following sub-categories:
  • Rooms Unoccupied
Those rooms available for sale but not occupied by a guest
  • Temporary Closed Rooms
Those rooms removed from salable inventory on a discretionary basis for a period of less than 6 months.
  • Rooms Out of Order
Those rooms removed from available inventory for a period less then 6 consecutive months due to renovation or a temporary fault or problem rendering them inadequate for occupancy.

Revenue and Cost

REVPAR
Revenue per Available Room
How much revenue has been earned by every room available in the hotel.
REVPAR = Revenue from Room Sales/Total rooms
REVPAR = Occupancy level x Average Daily Rate

Total Revenue per Available Room
Total Revenue / Available Rooms
TREVPEC
Total Revenue Per Customer
Total Revenue / Number of Guests
GOPPAR
Gross Operating Profit per Available Room
Average Daily Rate
ADR = An average room rate, charged in the day.
Day’s revenue from room letting / No. of rooms let in the day
Room Yield
Revenue as a percentage of potential revenue.
Room yield = Actual total room revenue / Potential total room revenue
Service Cost Per Room
The efficiency of room service expenditure.
Service cost per room = Total daily room servicing costs / No. of rooms serviced in the day

Guests

Number of Guests - Transient
Total guests traveling as individuals.
Number of Guests - Group
Total guests traveling as part of a group.
Number of Guests - Contract
Total guests who occupy their room through a special contract
Number of Guests - Complimentary
Total persons staying on a complimentary basis (see Complimentary Rooms Occupied)
Total Guests
Total of Transient, Group, Contract, and Complimentary guests.

Other

Number of rooms with Multiple Guests
Number of rooms occupied by more than one paying or gratis guest.
Arrivals
Number of room check-ins both paying and gratis.

Formulas

Occupancy Percentage = Rooms Occupied / Rooms Available

Percentage Occupancy Transient = (Transient Rooms Occupied / Rooms Available) * 100

Percentage Occupancy Group = (Group Rooms Occupied / Rooms Available) * 100

Percentage Occupancy Contract = (Contract Rooms Occupied / Rooms Available) * 100

Percentage Occupancy Complimentary = (Complimentary Rooms Occupied / Rooms Available) * 100

Number of Guests Per Occupied Room = Total Guest / Total Rooms Occupied

Multiple Occupancy = (Rooms with Multiple Guests / Total Rooms Occupied) * 100

Average Length of Stay = Total Rooms Occupied / Arrivals
